Docbox Dashboard Fields

The Print Jobs screen is where you'll spend most of your time in Docbox, whether you're checking a job has gone through, investigating a quarantine, or just keeping an eye on what's happening today. This article explains what each column and indicator on the screen is telling you.

Jobs are grouped by date and shown newest first. Filters above the list let you narrow the view by Job ID, name or address, printer, or status, matching the columns described below.

Summary and updates

At the top of each date group, a summary shows the total number of jobs and a breakdown by status, for example "55 JOBS (9 PRINTING / 24 COMPLETED / 3 CANCELLED / 19 QUARANTINED)".

A green badge (e.g. "12 UPDATES") appears when jobs have changed since the page was last loaded. Jobs that have updated are highlighted in green in the list. Clicking the badge dismisses the highlighting and acknowledges the updates.

Field Description
(checkbox) Selects jobs for a batch action. Refer to Dashboard Actions.
Time The time the file was processed by Docbox.
Job ID This is a unique identifier assigned by Docbox.
Title

This will be the filename or the document title.

A user can set their display preference, title or filename, in My Docbox > Settings

 

 

Files sent via Print Driver (PD)

  • The Docbox print driver appends a numeric identifier to the end of the filename. The title field will therefore show filename.nnnn.pdf. This identifier is linked to the print driver instance.

PDF uploads

  • This will be the title of the PDF. If the title is blank the filename will be used.

Child Jobs

  • If the job is part of a split job, a child, the title / filename will be appended with the page number within the parent. This page number is the page number of the 1st page relating to this recipient.
Recipient Name / Postcode

This is the name and postcode that has been extracted from the printer address area.

The postcode should be in postcode format XXnn nXX.

Recipient name is extracted from the 1st line of the address. 

For letters using standard phrases such as “Private and Confidential” in the first line, Docbox screens for “standard protection phrases” such as “private and confidential” and skips these when looking for the name of the recipient.

This is for display purposes only. The full address still includes the phrase such as “private & confidential”.  The document content is NOT altered. The full address is visible in the Job Details‍ window.

 

 

The phrases that Docbox will skip for display extraction are

  • addressee only
  • addressee to open only
  • confidential
  • for the attention of
  • personal
  • personal & confidential
  • personal and confidential
  • private & confidential
  • private and confidential
  • private
  • strictly private & confidential
  • strictly private and confidential

These phrases must be matched exactly and be in the 1st non-blank line of the address.

Parent Jobs

  • For parent jobs, this column shows the number of identified recipients. 
  • While the job is being imported or split, this shows a dash (-) rather than a count, since the number isn't known yet. The count updates progressively while the job is in Splitting status, and settles once splitting completes, this can happen before the individual child jobs exist. 
  • A settled value of 0 Recipients means splitting completed but didn't produce any valid jobs.
Printer

The name of the printer the job has been sent to.

Owner

This column is only available if the dashboard user is a

  • departmental user
  • organisational user
  • administrator

Refer to Departmental and Organisational Access.

It shows the name of the user that submitted the job.

Format: Initial Surname

Docbox File Agent

If the job has been submitted via the Docbox File Agent, the owner field will show the name of the user that created the token used in the pipeline.

 
Status Refer to Job Status‍ 
Type

This shows the type of the job.


 
This is an individual print job.
This is a parent job.
It has been sent to a printer with splitting‍ enabled. The associated child jobs can be viewed via View Child Jobs from the action menu .
This is a child job. 
The associated parent information can be found by clicking the Parent Job Id in the child job details panel or by clicking on the Child Jobs label adjacent to the docbox logo in the dashboard.

Icon Colours

  • A red warning icon next to the Type icon indicates a problem somewhere in the job or its children, this isn't limited to the Completed status. For example, a parent job can show the red icon while still Quarantined itself, if splitting failed to produce any print jobs. 
  • A green tick indicates the job, and all its children if any, completed with no issues. 
  • Refer to Job Status for more information.

Refer to My Docbox > Settings to control whether the dashboard shows parent only or parent and child.

 

 

Action

This allows you to find out more information about the job or take immediate actions (where applicable).

 

View Details This will open the Job Details‍ panel.
View PDF

This will open the pdf that is being processed in a new browser tab.

  • If the job is cancelled the PDF will not be available.
  • If the PDF cleardown period has elapsed it will not be available. 

If the job is a parent job, the PDF displayed will be the complete, non-split PDF. To see the individual PDFs use View Child Jobs.

 
View n Child Jobs This will allow you to see the individual child jobs related to this parent job. The view will open in a new browser tab.
Cancel Job Cancel the job
Delete Job Delete the job
