Knowing a job's status helps you see where it is in the process, spot anything that needs your attention, and understand when action is or isn't possible. The job status can be found in the Print Jobs section of the Docbox dashboard.
Every upload, whether from the web upload page, the Print Driver or DFA, appears on the dashboard within one refresh as a job with status Submitted. The job keeps the same ID throughout, it never disappears or gets replaced, even while other large jobs are mid-processing.
| Status | Meaning | Additional Information |
|---|---|---|
| Submitted | The job has been accepted by Docbox and is queued for processing | Sorted to the top of the job list. This is the first status you'll see, within one dashboard refresh of upload. No actions are available against the job at this stage, refer to Dashboard Actions. |
| Importing | The file is being checked and imported | If the file can't be processed, for example a corrupt PDF, the job moves to Quarantined with the reason shown, rather than disappearing. No actions are available at this stage. |
| Splitting | A multi-recipient file is being divided | The recipient count in the Recipient Name / Postcode column updates progressively as splitting works through the file, and settles once splitting is complete. This happens before the individual child jobs exist. No actions are available at this stage. |
| Processing | The job is being processed | |
| Pending | The job is queued for processing behind other work | Common for child jobs when a large job, such as a big splitting job, is ahead of them in the queue. This isn't a fault, jobs process in order and there's no need to resubmit. No actions are available at this stage. |
| Ready for Stationery | Checking if stationery is used | |
| Ready for Validation | Move to validation | |
| Applying Stationery | Stationery being applied | |
| Validating | Validating | Every job will be validated. If splitting is used, all child jobs will be validated. |
| Split | The parent job has been split into child jobs | Click on ⋮ > View Child Jobs to explore the child jobs |
| Quarantined | The job has failed validation | The validation failure reason is displayed in the Job Details panel which can be reached by clicking on a job in the dashboard or by ⋮ > View Details. Optionally, Docbox can send notifications when a job is quarantined. Refer to Email Notifications |
| Ready to Print | The job is waiting to be batched and sent to production. |
The job will be delayed based on the submission delay setting in the printer configuration. The job can be cancelled during this delay period. Once the delay period has elapsed, the job can be batched. The time the job will be eligible for batching is available in the Job Details panel. Batching is based on your organisation's specific schedule. |
| Printing | The job has been passed from Docbox to the appropriate output channel (production). At this stage, no further user actions can be applied to the job. |
The particular output type can be found in the Docbox dashboard.
If you suspect there is an issue (e.g. printing status showing for excessive period of time), contact your Docbox support team. |
| Completed | The job has been passed to production for print processing and is complete. | If this is a parent job and one or more of its child jobs has been quarantined, Completed will be shown in red with a warning icon. This lets you spot problem split jobs at a glance, even if you have your dashboard set to show parents only. Refer to My Docbox > Settings for how to control whether child jobs are shown. |
| Errored | System Error | Escalate to your Docbox support team quoting "errored" status. |
| Cancelled | The job has been cancelled. | Optionally, Docbox can send a notification if a job is cancelled. Refer to Email Notifications. |
