Printers are at the heart of Docbox configuration. Each printer record defines everything Docbox needs to process and deliver a print job — the paper and envelope to use, the postal delivery service, the output channel credentials, where the recipient address sits on the page, any stationery overlays or electronic inserts to apply, and how to handle documents that contain multiple letters.
You can manage printers via Control Panel > Printers.
The Administrator and Control Panel roles can view printer configurations. Only Administrators can create or modify them.

Adding a new printer
- Click Add New Printer. A blank printer form opens in the right panel.
- Complete General Settings, at minimum a unique Name, Paper, and Orientation Alignment. Leave Enabled checked.
- In Access Rights, select All users unless the printer should be restricted to an LDAP group.
- In Print and Post Settings, select the Envelope, Delivery Service, and Credentials that apply. Set a Submission Delay if required.
- In Address Handling, review the Left, Top, Width, and Height values against your document template. New printers are pre-filled with a starting address region (Left 13mm, Top 45mm, Width 70mm, Height 40mm) so the region is usable immediately; adjust these to match your template rather than leaving the defaults unchecked.
- Complete Stationery, Electronic Inserts, and Splitting if this printer needs them.
- Click Save.
Saving a printer
Click Save at the bottom of the form after making any changes.
If there's a validation error, for example an empty Name or a required LDAP group left blank, the error is shown next to the relevant field.
If the server rejects a save, for example because of a conflict Docbox can only detect once the record is submitted, the relevant field is highlighted with a message explaining the problem. Issues that aren't tied to a specific field appear in a summary at the top of the form.
Copying a printer
To create a copy of an existing printer with all of its settings:
- Select the printer you want to copy.
- Click Copy in the button bar. This is only available when viewing an existing printer with no unsaved changes.
- Confirm the copy. Docbox creates a duplicate printer record with the same configuration as the original and loads it in the detail panel.
- Review and rename the copy, then click Save.
Deleting a printer
- Select the printer and click Delete.
- Type the printer's name exactly to confirm. This comparison is case-insensitive.
- Click Delete to confirm. This is permanent and cannot be undone.
If the printer is currently referenced by active print jobs or batches, Docbox explains why it can't be deleted. Resolve the dependencies before trying again.

The delay between the job being ready to print and being eligible for batching. This useful delay allows time for the job to be verified - e.g. to ensure the correct service is being used. A job can be cancelled during this delay window. Options: No Cancellation Period, 5 minutes, 10 minutes, 15 minutes, 30 minutes, 1 hour, 2 hours, 4 hours, 12 hours. |
| Batching Schedule | The batching schedule controls when output batches are securely sent for production processing. Select None if jobs should be batched as soon as they are eligible. |
| Address Handling |
This is required. These settings define the rectangular region on the page where the recipient's postal address is expected to appear. All measurements are in millimetres from the top left hand corner of the page. |

| Clear Zone (mm) | Specify the margin (mm) of clear space required around the address area. The clear zone is used to ensure that the address area is correctly positioned for visibility when using windowed envelopes |
| Address Validation Enabled | If enabled, Docbox will check that the address is located within the address area and that the clear zone is empty. Refer to Quarantined for further details on validation failures. |
