Electronic Inserts

Electronic inserts are PDF files that are automatically appended to every job sent to a printer. They allow you to include additional content, such as a promotional leaflet or terms and conditions page, without that content needing to be part of the original document. Up to three inserts can be assigned to a printer, added in order Insert I, Insert II, Insert III, after the main document pages. You can manage electronic insert records via Control Panel > Electronic Inserts.

The Administrator and Control Panel roles can view electronic insert records. Only Administrators can create or modify them.

Caution

When using inserts, ensure the total number of sheets (original document plus inserts) does not exceed the sheet capacity of the envelope or the printer's maximum sheet limit. If the limit is exceeded, the job will be quarantined.

 
Field  Description
Name A unique name for the electronic insert record.
Revision Code A reference to help you track versions of this insert file. This is free text and defined by you, for example v1, 2026-05, or any reference that is meaningful to your organisation. If you update the insert file, updating the Revision Code helps you confirm which version is currently in use.
Page Count The number of pages in the insert file. This is calculated automatically once a file is uploaded.
File Name The PDF file to be used as the insert. Upload a file to set or replace it.

Electronic inserts that are currently assigned to a printer cannot be deleted. Remove the assignment from all printers in Control Panel > Printers before attempting to delete the record.
