Docbox retains information on all submitted jobs and this information is available via the dashboard.
Docbox breaks out the data into different classes. Each class has its own retention period.
Element | Description | Default | |
---|---|---|---|
A | PDFs | the PDF that is submitted is stored regardless of the status of the print job | 28 days |
B | Job information data | this includes the name, address and postcode of the recipient of the print job | 28 days |
C | Job submission information | this includes the submission date | 13 months |
Note: The defaults may have been changed by your organisation.
The elements are processed in the above order and this means the retention periods must be in ascending order e.g. it is not possible to have PDFs kept longer than job information data. (A <= B <= C)
Docbox applies the retention period against a date associated with the job. Different dates are utilised based on the job status.
- Date printed is used for successful jobs (completed status)
- Date submitted is used for invalid jobs (quarantined, cancelled)
Example: If using the defaults, the job PDFs will be available (via the dashboard) for 28 days after the job has been successfully printed. They will then be removed from the system (cleared down).
