Why use Docbox?

Docbox is often thought of as a way to send documents for print. That is how most people first use it, but it is only part of what it does.

Every document sent through Docbox is tracked from submission through to dispatch, with full visibility in the Dashboard at every stage. This means you can answer questions that go well beyond "has this been printed":

Did it actually go out, even within a large mailing?

However a letter reaches Docbox, it is tracked individually from submission to dispatch. Even within a mailmerge of several thousand letters, each recipient is tracked separately, so you can confirm that a specific letter, to a specific recipient, was sent, and exactly when.

Was it checked before it went out?

Every job is validated before it leaves Docbox, so problems are caught early rather than after it has reached the print stage.

What is our usage?

Docbox does not hold monetary or pricing information, but it does record the data behind your usage: volumes by user and department, which delivery services were used, and how jobs were processed. This gives administrators and finance teams a factual basis for understanding usage patterns, which can then be related to your own cost information.

Who sent what, and can we prove it?

Every job is linked to the user who submitted it, with a full audit trail of status changes. For organisations that need to demonstrate compliance, or simply need to confirm exactly what was sent and by whom, this record is built in rather than something to assemble after the fact.

Where do I find this?

All of this is available directly in the Docbox Dashboard, where you can search, filter, and drill into the details of any job. For analysis over time, by department or by user, the data can also be exported as a CSV report and brought into Excel or another tool of your choice.
